This Privacy Policy governs the manner in which Inter School Travel Ltd collects, uses and discloses information collected. In the interests of total transparency and to ensure you fully understand your rights, this policy has been written using plain and simple language.
Inter School Travel Ltd is the overall business that trades under the following brand names; Inter School Travel, Interski, Alpine Revolution and interVal. Interski is also known under some sub-brands which are Interski Schools and Colleges, Interski Snowsports Holidays, Interski Training Academy, Interski Rental Wear and Accessories, Interski Snowsport School and Interski Snowshots. For simplicity, any reference to ‘we’, ‘us’, ‘our’ etc. within this policy refers to the business and brands above.
We may collect your personal data in any of the following ways:
- When you visit our websites to make a purchase of any products or services including booking ski holidays, rental wear or buying ski accessories.
- When you call us over the phone to make a purchase of any products or services including booking ski holidays, rental wear or buying ski accessories.
- When you request a hard copy or download one of our brochures.
- When you contact us with a request for a quote.
- When you contact us with a query or complaint.
- When you contact us via the live chat facility on our website.
- When you engage with us through our social media channels.
- When you enter competitions.
- When you complete any forms or surveys, whether they are written or electronic.
- If you are a client and sustain an injury which is report to us, we will require your home address.
- If you are a client and sustain an injury which requires repatriation, we will normally require details of next of kin and your GP’s details.
- When you work for us as an employee.
If you make a booking with us for a school and college trip, we will collect your name, email address and a telephone number. We will use the school address for any postal correspondence.
If you make a booking with us for a ski holiday which is not part of a school and college, we will collect your name, postal address, email address and a telephone number.
If you are travelling as a passenger on one of our holidays, including schools and college trips, we will collect your name, gender, date of birth, place of birth, weight, height, shoe size, details of any medical requirements, details of any dietary requirements and details of any special needs. In addition, if you are travelling by air where we book the flights for you, we will also collect your nationality, passport number, issue and expiry date.
If you make a rental booking or purchase an accessory pack, we will collect your name, gender, billing address, phone number, email address and sizing details. If you have an order which is to be delivered to an alternative address other than the billing address, we will also collect this.
If you are a prospect, (that is someone who has contacted us, but never made a booking or purchase), we will collect the minimum details required to fulfil your request. This could mean we do not collect any data, or it could mean we collect your name, address, phone number and email address. If you have requested or downloaded a brochure you are considered to be a prospect.
If you are an employee, we will collect your name, gender, address, phone number, email address, date of birth, national insurance number, uniform sizes, bank account details, details of any medical or dietary requirements and details of your next of kin. In order to ensure you have the right to work in the EU, comply with child safeguarding regulations and, if a snowsport instructor, the right to teach in the Aosta Valley, we will also require passport information, DBS certificate, first aid certificate and professional licences. If you drive a vehicle for us as part of your employment, we will be required to keep a record of your drivers’ licence.
In all instances, where necessary, we will record details of your interactions with us which may include notes of conversations, details of comments or complaints and enquiries made.
We may also collect ‘non-personal’ or anonymised data about users when they interact with our websites. This kind of information may include things such as the browser you are using, the type of operating system and internet connection.
Our websites also uses cookies to enhance your user experience. All browsers allow users the option to refuse to accept cookies, although certain aspects of the site will not work.
As well as needing your information to offer you the best possible customer service, we also analyse our data to keep our customers updated with the most relevant information, offers and promotions.
Your information will be used to process holiday bookings, including school and college trips, so that all aspects of your booking can be delivered as described. This will include contacting you with reminders and relevant travel information prior to travel, during your holiday and following your return.
Your information will be used to process orders for rental wear and ski accessories. This includes updating you with information about the status of an order so you have confirmation the order has been received, processed and despatched. If you have placed an order and are travelling as part of a school group we may pass the details of your order to your school party leader on a booking summary.
Your information will be used to respond to queries and complaints. This includes responding to surveys and questionnaires.
With your consent, we will use your details to contact you for marketing purposes by email, phone and post.
If you work for us as a member of our resort team, we will use your information for the purpose of administering and monitoring your performance and also for reviewing and evaluating all aspects of the recruitment process.
If you work for us as a snowsport instructor, we are required to pass on your details to local authorities in Italy in order to comply with regional Italian legislation.
To comply with our obligations where we are required to share information with law enforcement agencies, we will pass on the specific information requested.
At any time, by law you can request that we update or remove your details from our systems. This can mean choosing specifically which channels we communicate with you. You can find more details in the ‘Your Rights Over Your Personal Data’ section below.
We do not store any payment card data.
We understand the sensitivity of personal information and so take proportionate steps to ensure it is secure. Access to all personal data stored electronically is password protected and user access is based on individual privileges.
Our websites make use of ‘https’ technology.
Any paper records are kept securely in our head office.
So that we can comply with insurance and regulatory requirements, analyse past performance and identify booking trends, we will hold your data for an indefinite period.
If you have worked for us, any personal information which has expired, such as passport or licence information, will be deleted and paper records shredded.
You have the right to ask us to remove any information we hold about you, at any time.
If you have made a booking for a ski holiday, including school and college trips, your information will be passed to necessary third parties to ensure we deliver all aspects of the trip. This includes giving information to airlines, coach companies, ferry companies, hotels and external ski hire outlets.
If you have made a booking for a rental item or ski accessories, your delivery information, including phone number and email address will be passed to our preferred courier. They may only use your information for providing the services for which they are contracted.
If you work for us as a snowsport instructor, we are obliged to share your information with your accommodation provider and the local authorities who regulate snowsport teaching in the region.
If you work for us in another role other than as a snowsport instructor, based in Italy, your information will be passed to your accommodation provider, normally a hotel.
If you have consented for us to contact you for marketing, we may pass your details to any 3rd parties who provide direct marketing services either by email or post, in order to contact you regarding products and services offered by us only.
Our IT providers may require access to your information whilst updating, improving and maintaining our software and database systems.
In all instances suppliers may only use your information for providing the services for which they have been contracted. We will never sell your data, or allow it to be accessed for reasons not directly related to ourselves.
You have the right to request access to the personal data we hold about you, which we will provide free of charge and within 40 days.
You have the right to request that we update, amend or correct and information which is out of date or incomplete.
You have the right, at any time, to request that we stop using your personal data for direct marketing, either as a whole or through specific channels and you have the right to request that we delete your information entirely.
You can request a copy of your personal information from us at any time either by writing to us through the post at Interski, 8 Acorn Business Park, Commercial Gate, Mansfield NG18 1EX or by email to email@interski.co.uk.
If you receive direct marketing communications from us, as described in the previous section, it is your right to request that we stop.
You can click the ‘unsubscribe’ link in any marketing email communications we send you and we will then stop any further emails from that particular brand.
You can email us directly to email@interski.co.uk and request that we no longer send you any marketing information either by email, through the post, or both. Similarly, you can write to us at Interski, 8 Acorn Business Park, Commercial Gate, Mansfield NG18 1EX and make the same request.
You can call us and ask us to update your preferences over the phone.
Although unlikely, it is possible that you may receive communications for a short period following your request, whilst our systems are updated.
